Illustrative scenario

A technician arrives at a hydraulic power unit with a closed top-up container marked ISO VG 68. The work order says PL-HYD-03. The drum in the lube room carries supplier code L-4682. There is no visible trace from the container back to that drum.

The technician must either rely on a color band and another person's memory or stop and trace the oil. The route should make that trace immediate, without guesswork or an unplanned stop.

Purchasing, stores, the CMMS and the machine do not need to use identical wording. They do need to point to the same approved product for the same fill point before the cap comes off.

ISO VG 68 is not a product name

ISO VG tells you where an industrial oil sits in the viscosity classification at 40 °C. That matters, but it answers only one question. It does not identify the base oil, additive chemistry, equipment approvals or compatibility with the oil already in the reservoir.

On a work order, Hydraulic 68 can look specific enough to act on, yet it names only a service category and viscosity grade. Two oils matching that description may be formulated for different requirements. They are not interchangeable unless the approved record says so.

Use viscosity grade and service description to narrow the search. Container color may support a site identification system, but it does not establish product identity. The final decision comes from the approved product record.

Use the plant code as the route key

Purchasing may identify an oil by supplier item number, while the CMMS needs a short, stable code. In the lube room and at the machine, labels also have to survive handling and remain readable. Problems begin when the technician is expected to translate between those systems from memory.

Use the plant code as the lookup key. Behind it, keep the exact manufacturer and product name, the technical specification, authorized applications, current product and safety data, effective date and decision owner. Do not reuse the code for a lubricant with a different meaning.

The code may represent a plant lubricant specification, but it must not hide the exact product in the container. If approved alternatives coexist, show the exact product name or a distinct subcode on storage, dispensing and transfer labels. A common code must never be interpreted as permission to mix products.

A supplier change deserves its own change record. Confirm that the replacement is suitable, review compatibility, and document the segregation and any machine-specific drain, flush or refill plan required during the transition. Two products can both be approved for an application without being approved for mixing.

The plant code is an operating aid. It does not replace the supplier label or the hazard communication required at the site. OSHA 1910.1200 is one United States example. Local law and site policy still apply.

Illustrative training example. Product name and codes are fictional. Keep the original manufacturer and hazard labels intact. Place the plant code alongside them, then use the approved record to verify the exact product and authorized fill point.
Plant code
A short, stable identifier that is never reused for a lubricant with a different meaning.
Exact product
Manufacturer, full product name and supplier item code. If alternatives coexist, each exact product needs a distinct subcode or explicit mapping.
Technical basis
Viscosity or consistency grade, required performance specifications, OEM approvals, compatibility constraints and critical restrictions.
Authorized applications
The assets, components and exact fill points that may receive the lubricant.
Current documents
Product data sheet, safety data sheet, approval record, status and effective revision.
Decision owner
The role authorized to approve a substitution, release held material or retire an obsolete code.

Follow the oil from receiving to the machine

Walk the route in the order the oil moves: receiving, storage, dispensing, transfer and application. At each stop, ask the same question: can I show that this is still PL-HYD-03?

At receiving, the supplier label and delivery record document what the shipment is declared to contain. Acceptance checks must also confirm the purchase order, container condition and approval status before the stock is released for use. In the lube room, the original product name must remain readable and the plant code must appear at the dispensing outlet, not only on the rack. When oil moves into a top-up container, its identity must move with it. At the machine, the work order and fill-point tag close the loop.

A dedicated pump or container makes that loop easier to protect. Shared equipment needs a cleaning method that can be verified. A clean-looking jug is not proof that it is clean or that it contains the right oil.

When a label cannot be trusted

A controlled hold keeps the source and transfer equipment out of service together. Nothing returns to use until an authorized decision is supported by the trace and the failed handoff is corrected.

An unknown container is not a detective challenge for the technician at the machine. Put the affected source, tool and task on hold before the material is used or returned to stock. Photograph what is visible, record where it came from and note every machine it may have reached.

Start with documents. An original container with an intact manufacturer label, backed by receiving and dispensing records, provides stronger evidence than color, smell or recollection. For oil transferred into another container, rely on the controlled dispensing trace, not a handwritten claim alone.

Laboratory testing is useful only when the candidate products and the decision are defined. With suitable reference data, selected tests can show a mismatch. They cannot prove exact product identity in every case, especially after mixing, contamination or service.

If the oil may already be in a machine, record the amount, fill point, time and operating state. Do not automatically top up, drain or flush. First assess the machine and the compatibility risk.

Release requires an authorized person and a recorded basis. Closing the hold also means correcting the failed label, record or transfer practice that created it.

The closing test

Hand a technician who did not design the system a normal work order and ask them to trace the specified lubricant from the machine back to its approved source, whether that is an original container or a controlled bulk vessel. Do not brief them first. If the route relies on memory, an ad hoc phone call or a guess, the system is not yet controlled.
